Document conventions
Convention | Explanation |

Date Guide#
Viewpoint is able to capture multiple dates associated with documents. The application is also capable of adjusting the dates to a specified time zone, while taking into account any necessary daylight savings rules. Dates can also be adjusted during ingestion. Viewpoint presents a consolidated ‘Date’ property for documents (Main Date) which contains the most relevant date, as it applies to a document, while still allowing for the exposure of a particular date type, as desired. For the purposes of this guide, the term “date” refers to the combination of date and time (not simply the calendar date).
File Dates Captured in Viewpoint Processing#
Viewpoint captures the following dates, as applicable to file type, when a file is processed by Viewpoint Processing. Files which are imported (as opposed to processed) may have any number of these fields. When importing data, be sure to map the imported data to the most appropriate date field. All of these dates are stored in the Universal Coordinated Time Zone (UTC) and contain the calendar date and the time of day. These dates may, however, be displayed in other time zones (this process is described elsewhere in this document).

Note: The ‘source file system’ is the file system that the file originated from, such as the custodian’s hard drive.
The Calculation of Main Date#
The Main Date is the ‘Date’ property commonly shown in Viewpoint Review. This date is calculated from the dates present in the document and is meant to be the most commonly useful date associated with a document.
The following hierarchy is used to determine what value to show based on what metadata has been captured for a specific document:

*Summary Dates are internal metadata properties.
- PDF Examples: (Accessed via File Menu, Document Properties)
- Summary Created Date – Date that the source file was converted to a PDF.
- Summary Modified Date – Date that the contents of the PDF were modified within Adobe Acrobat. (If no modifications, Modified Date = Created Date)
- MS Office Examples: (Accessed via File Menu, View Document Properties, Statistics Tab)
- Summary Created Date – Date that the contents of the file were first saved within MS Office.
- Summary Modified Date – Date that the contents of the file were modified and subsequently saved within MS Office. (If no modifications, Modified Date = Created Date)
**File System Dates are stored within the OS environment.
- File System Created Date – Date that the file is created on a media. This does not change when working normally with the file. (Ex. opening/closing/saving/modifying)
- File System Modified Date – Date shown by the OS when there has been a change to the file itself. For example, this modified date would be shown in Windows Explorer, whereas the Summary Modified Date is seen only within the file properties within the native app.
Time Zone Offsets / Daylight Savings Time#
All document file dates are stored in the Universal Coordinated Time Zone (UTC). Viewpoint Review is capable of offsetting these values to a particular time zone so that document dates will be easier to work with. Viewpoint Processing always shows file dates in UTC format.
A Viewpoint project is associated with a single time zone. The time zone is specified through Viewpoint Processing. This time zone setting determines the time zone offset and daylight savings time rules to apply to data when producing user-visible dates, such as:
- The dates shown in Viewpoint Review
- The dates present in the header of HTML-rendered emails for emails processed by Viewpoint
If the time zone is changed after data has already been processed, the HTML will need to be re-generated (if present) and all data must be re-posted to Review for the date changes to take effect.
Ingestion Date Offset#
All data ingested into Viewpoint is expected to be in Universal Coordinated Time (UTC). If the load file contains dates in a time zone other than UTC then the data must be converted to UTC, either by altering the data in the file (using a text editor, etc.) or by using a feature in Viewpoint Import which will add / subtract a selected number of hours to all data ingested.
